The essentials
What is iGalenus?
iGalenus is an electronic health record and practice management system for ophthalmology practices and clinics. It brings together scheduling, charts with native OD/OS laterality, studies, prescriptions, optical, payments with invoicing and the patient portal in a single web environment.
Who is behind iGalenus?
iGalenus, a Mexican company made up of doctors, developers, artificial intelligence specialists, designers, and economists. The system was built with ophthalmologists and is backed by Google for Startups and Amazon Web Services.
Is iGalenus only for ophthalmology?
The platform serves several specialties, but the ophthalmology record is the one built in depth: per-eye laterality, retina map, gonioscopy with Shaffer grading, anterior segment map, IOL calculation, muscle dosing in strabismus and prescriptions for specialty contact lenses.
What is Gbook and how is it related to iGalenus?
Gbook is the multi-clinic platform iGalenus runs on. Each practice or clinic operates in its own isolated space within it, with its own patients, catalogs, and users.
How is it different from a generic record?
A generic record gives you free-text fields. iGalenus gives you the ophthalmic exam already structured: acuity in Snellen, low vision and Jaeger; IOP with its method; drawable maps of retina, anterior segment and angle; and all of it charted as a trend over time, which is what you need to make decisions.
Pricing and signing up
How much does iGalenus cost?
The record costs $0 a month, with no limit on patients or notes. Only two usage items are metered: the AI-dictated visit at $0.17 USD and the interpreted study at $0.33 USD. Plans with an included monthly allowance start at $39 USD a month billed annually, or $49 USD month to month.
How do I pay?
Card only. Prices are in US dollars (USD).
What changes between paying yearly or monthly?
Pay annually with a single 12-month payment and save 20%: Practice $468 (equivalent to $39 a month) and Clinic $1,428 (equivalent to $119 a month). Month to month you pay $49 and $149. Amounts in USD. Your plan is charged to your card at the start of each period.
Is there a money-back guarantee?
Yes, 30 days on the annual plan. It doesn't apply to renewals or to the monthly plan.
Will you notify me before my plan renews?
Yes. On the annual plan, 1 month, 5 days and 1 day before; on the monthly plan, 2 days before.
Is there an implementation fee?
No. Neither for implementation nor per user, on any plan. The record comes preconfigured for ophthalmology.
What does the free plan include?
Complete record, scheduling, prescriptions, optical, payments, patient portal, and NOM compliance. Only AI usage (dictation and study interpretation) is metered.
Is there a trial period?
Yes. Practice and Clinic can be tried for 14 days with everything unlimited. The Records plan is free forever, not a trial. No card is required to create your account.
Do I need a card to create the account?
No. Sign-up asks for name, phone, type of business, practice or clinic name, email and password, and is confirmed with a six-digit code sent by email.
Can I see the system before signing up?
Yes. The clinical demos can be explored without signing up and show the system's real screens, and the feature tour details each area with screenshots.
Clinical scope
Which subspecialties come preconfigured?
Retina and vitreous, glaucoma, cornea and refractive surgery, anterior segment and cataract, pediatric ophthalmology and strabismus, and neuro-ophthalmology. You can select several at once: sections add up, never subtract.
Can I change the fields of my note?
Yes, without programming. Sections are added, removed and reordered, and fields are adjusted. The sections required by NOM-004 are always kept.
How does dictation work?
It records during the visit, with pauses and resumes within the same note, and transcribes as you speak. AI suggests which data point goes in which field and labels whether it was verbatim, interpreted or uncertain. You confirm before it enters the note. If the connection drops, the audio is backed up on the computer and the recording is recovered when you're back online.
Does the AI sign notes?
No. The AI transcribes, suggests and drafts; the physician reviews, corrects and signs. The note's quality score is always calculated by the system in a reproducible way, not by the model.
Does it connect with my OCT, my perimeter or my topographer?
Studies are uploaded from a technician workstation connected to the device. The system recognizes the file type, suggests the eye, date and category, and you confirm before saving.
Can I compare studies from different dates?
Yes, in four modes: wipe, side by side, flicker and a two-by-two grid, with synchronized zoom and pan. The system shows the time elapsed between studies and warns when the techniques aren't comparable, for example a 24-2 visual field against a 30-2.
Daily operations
Can my patients schedule or reschedule on their own?
Yes. The patient receives a personal link by WhatsApp —no password— where they see only the times that are actually free and confirm. The change is recorded on the appointment as moved by the patient.
Are appointment reminders sent?
Yes, by WhatsApp and email: confirmation when booking, a reminder the night before and a notice when the appointment moves. Message templates are customized with variables such as name, date, time, location and physician, and notices can be turned off per appointment.
Can I issue invoices from the system?
Yes. Invoicing is issued from your own operation, without re-entering patient data.
Does it handle multiple locations?
Yes. You can add several locations; appointments, optical orders and inventory are tied to each location.
What happens with my practice's optical shop?
It lives inside the same system. The eyeglass prescription becomes a sales order without re-entering parameters, with a lens catalog by lab, index and treatments, frames and contact lenses from inventory, quotes with an expiration date, partial payments and order status through delivery.
Standard, data and security
What does iGalenus do with NOM-004 and NOM-024?
Before signing, the note goes through a NOM-004 review: the system checks the elements required by NOM-004-SSA3-2012, flags what is missing and calculates a quality score from 0 to 100. The signed note becomes immutable and only accepts an addendum. NOM-024-SSA3-2012 is addressed as a support guide: the audit center reviews identity, structure, integrity, access control and catalogs, with an exportable access log and a PDF report to guide your own audit. iGalenus is not NOM-024 certified.
Who can see a patient's record?
Only whoever you authorize. You define each team member's permissions, and every time a record is opened it's logged in the access log with user, record and time. The log can be exported as CSV.
Can I edit a note that is already signed?
No. A signed note becomes immutable, and corrections are recorded as an addendum with date, time and the person responsible.
Where does the data live?
On Amazon Web Services infrastructure, with encryption in transit and backup. iGalenus maintains an information security management system with a risk register, document control, and backup restore testing.
Is the data mine?
Yes. Your patients' clinical information is yours. Patient lists, prescriptions, optical orders and the access log are exported to Excel or CSV from the system itself.
Get started
What do I need to get started?
A browser. iGalenus works on a computer, tablet or phone; there's nothing to install, no server in the office and updates arrive on their own.
How do I create my account?
Online, in five steps: name, phone, business type, business name, and email with password. It's confirmed with a six-digit code sent by email. No card is required to create it.
I already use iGalenus. What do I do?
Message us on WhatsApp at +52 446 118 5022 and we'll review your account with you.
Does it work on an iPad or a tablet?
Yes. The interface is designed for input with a finger or digital pen, which is how the retina map, the anterior segment map and the angle map are drawn.
What if I have questions or want someone to show it to me?
Write to us at clientes@igalenus.com or from the contact page. You can also explore the clinical demos on your own, no sign-up.
